2What we collect
In short
Only what we need: what you type into our forms, bookings and questionnaires, what you tell us as a client, and some information about your visit to our website.
Website forms. Our website forms ask only for what we need to come back to you. That is usually your name and contact details, and sometimes your business name, your region, or a little about your situation. We also record which form you used and when you sent it. Each form shows which fields are optional. Without the others, the form will not send and we cannot come back to you. You can always ring or email us instead.
Bookings and payments. Online bookings go through an online booking service. It collects your name, contact details, the answers to its booking questions and, for paid bookings, your payment. Payment is made through its checkout. We do not ask for your card details ourselves.
Online questionnaires. Our online questionnaires collect your answers and contact details. If you give us your phone number, we take that as a sign you are happy for us to ring you.
Working with us. When you become a client, we collect the information we need to do the work and get paid. Our terms of trade (clause 12) explain this in full. It can include details about your business, your customers, your suppliers and your people, credit information, and the documents you send us. We record or transcribe any part of a session only with the permission of those taking part, given at the time.
Other contact. If you ring, email, text or message us, we keep a record of what you send us and what we discuss, so we can follow up properly.
Your visit to our website. Like most websites, ours collects some information about your visit without you typing anything. This includes your IP address (the number your internet connection uses to reach websites), the type of device and browser you use, the pages you visit, how you arrived at our site, and whether you tap our phone number or email address or send a form. Clause 4 explains how.
3Why we collect it
In short
To reply to you, run bookings, do the work, keep records, improve what we do and measure our advertising. We do not sell your personal information.
How we use it. We use your personal information to:
- (a)reply to you, ring you back, and talk with you about your situation;

- (i)measure how our advertising is working, and show our ads to people who may be interested;
- (j)name you as a client, use your logo or share your testimonial, but only with your permission (terms of trade clause 13.3); and

No selling. We do not sell your personal information.
4Cookies and tracking
In short
Our website uses cookies from Google and Meta to count visits, measure our ads and show our ads to past visitors. You can block them or opt out.
What a cookie is. A cookie is a small file a website puts on your device. Our website uses cookies and similar tools from Google and Meta (the company behind Facebook and Instagram). They start as soon as you begin using a page, or a few seconds after it loads.
The tools we use. We use:
- (a)Google Analytics, which tells us how many people visit, which pages they read, and which forms get sent. It uses cookies to tell one visit from another. Google explains how it uses information from sites like ours at www.google.com/policies/privacy/partners/;
- (b)Google Ads, which tells us whether people who saw our ads went on to contact or book with us. Google may also use cookies to show our ads to people who have visited our site; and
- (c)the Meta pixel (a small piece of code from Meta), which does the same for our Facebook and Instagram ads. It lets Meta measure our ads and show them to people who have visited our site, or people like them.
Google Analytics advertising features. We use two Google Analytics advertising features:
- (a)Google signals, which lets Google connect visits to our site with the Google accounts of people who are signed in and have agreed to this. It helps us understand our visitors and show our ads to people who have visited our site; and
- (b)user-provided data collection, which lets Google Analytics pick up the email address or phone number you type into a form on our site, in coded form, to help measure our ads.
For these features, Google Analytics cookies and Google’s advertising cookies work together.
What Google and Meta do. These tools let Google and Meta collect information from our website, and they also collect information about you elsewhere on the internet. They use it to measure ads and to target and deliver ads, including for their own advertising services, as their own terms allow.
Your choices. You can:
- (a)block or delete cookies in your browser settings. The site still works without them;
- (b)change how Google personalises ads for you in Google’s Ads Settings, and use Google’s browser add-on that opts you out of Google Analytics;
- (c)change how Meta uses your activity for ads in your Facebook or Instagram ad settings; and
- (d)opt out of ads based on your browsing (sometimes called interest-based ads) from many advertising companies at www.aboutads.info/choices and www.youronlinechoices.eu.
Videos. Videos on our website are hosted by a video service. They do not load until you press play. The video service then collects information about your viewing under its own privacy policy.
Photos. Some pages show photos served from online photo libraries. Your browser asks those libraries for the photo, so they can see your IP address.
5Who we share it with
In short
Our software providers, some overseas and some using information for their own purposes; and, for clients, credit reporters, debt collectors, funders, our advisers and insurers. Only when needed or when the law allows.
When we share. We only share personal information when we need to, for the reasons in clause 3, or when the law allows or requires it.
Our service providers. We use trusted service providers. They hold or process information for us, and some also use it for their own purposes as their own terms allow, for example to improve their services, or in a form that no longer identifies you. Some store information overseas, including in the United States and Australia. Those countries may not protect information in the same way New Zealand does.
The kinds of providers we use. They include:
- (a)our customer relationship system, which holds website form details and sends our confirmations, reminders, emails and texts;
- (b)online booking, payment and questionnaire services;
- (c)Google and Meta, for website analytics and advertising (see clause 4);
- (d)email, file storage and document tools;
- (e)accounting and invoicing software, and tools that connect our systems;
- (f)website hosting and video services; and
- (g)AI tools. Our terms of trade (clause 12) set out how we use AI tools with client information.
Each provider has its own privacy policy.
Credit reporters and debt collectors. If a client who is an individual asks for credit or a payment plan, we may ask a credit reporter for credit information about them, with their agreement. If we use a credit reporter or a debt collection agency, we share the information it needs. Clause 12 of our terms of trade sets this out.
Funding. Where a client’s work is part funded through the Regional Business Partner Network or another funder, we share what is needed to apply for, run and report on that funding with the Network, the client’s Regional Business Partner or growth advisor, the Ministry of Business, Innovation and Employment, or the other funder (terms of trade clause 23).
Our advisers and insurers. Our accountants see our business records, which can include client names and invoices. Our other professional advisers and our insurers see information only where they need it, and keep it confidential.
When the law requires it. We may also share information if the law requires it, or if it is needed to prevent a serious threat to someone’s life or health.
6Marketing messages
In short
We only send marketing emails or texts with your agreement, or where our relationship makes it reasonable. You can stop them any time.
When we send them. We only send you marketing emails or texts if you have agreed, or if our relationship with you makes it reasonable to think you would want them.
Stopping them. Every marketing email from us tells you how to unsubscribe. To stop marketing texts, reply STOP. You can also just ask us to stop. Once you do, we stop.
Not marketing. Messages about something you have already booked or bought, such as confirmations and reminders, are not marketing. You will still receive those.
7Information you give us
In short
Some services need certain information. If you tell us about other people, please make sure they know.
If you do not give it. If you are a client and choose not to give us information we ask for, we may be unable to supply a service.
Information about other people. If you give us information about someone else, such as a staff member or someone taking part in a programme, please make sure they agree, and know that we will hold it, why, and that they can ask to see and correct it. Clause 12 of our terms of trade sets this out for clients.
8Keeping it safe
In short
Secure systems, limited access, and only as long as we need it.
Security. We keep personal information in secure, password-protected systems. Only people who need it for their work can see it. We ask our service providers to keep it safe too.
Privacy breaches. If we have a privacy breach that could cause someone serious harm, we will tell the people affected and the Privacy Commissioner, as the law requires.
How long we keep it. We keep personal information only for as long as we need it for the reasons we collected it, and for as long as the law requires us to keep business and tax records. After that, we delete it or make sure it can no longer identify you.
9Your rights
In short
You can ask to see and correct your information. We respond within 20 working days. You can complain to the Privacy Commissioner.
Seeing and correcting. You can ask us:
- (a)whether we hold personal information about you;
- (b)for a copy of it; and
- (c)to correct it if it is wrong.
Contact our privacy officer using the details in clause 1.2. We may need to check who you are before we share anything. We will respond as soon as we reasonably can, and within 20 working days.
Complaints. If you are not happy with how we have handled your personal information, please talk to us first. We want to put it right. You can also complain to the Privacy Commissioner at www.privacy.org.nz.
